Here are various formal club notices issued in Feb 07:

Television

Please note we will shortly be putting up a 40 inch flat screen TV in the Spike Bar.

I am pleased to tell you that the majority of the cost for this TV will be offset by our rental company as compensation for previous overcharging that have accumulated over a number of years.

Special thanks go to Chris Jones who’s tenacity uncovered this issue and who’s negotiation skills have resulted in this new asset which we will own outright.

Committee News

I stated during my address at the recent AGM that I intended to introduce a number of additional committees to assist in the smooth running of the club and its finances. I am pleased to announce that we are introducing 3 new committees as follows:

1. The Finance Committee – this is being created to support the Treasurer and to ensure that we spend more time and effort controlling our finances and planning for the future.

The Finance Committee will be chaired by the Treasurer (Mark Simkins) and will comprise of
· Charlie Hill representing House
· Chris Jones representing Greens
· Chris Edwards (Registrar and qualified accountant)
· Myself.

Directors of the club can then use the figures and reports generated by this committee at Council meetings. Please note that his committee does not take away Council’s overall responsibility for the financial aspects of the club.

2. Club Golf Committee – I perceive that there has been a lack of formal coordination between various Golf Committees which this committee will address. I would also like to increase the liaison between Greens and Golf.

An excellent example of where we could have utilised the Club Golf Committee in the recent past was the introduction of mats as it affected all sections of the club. They will now debate their continuation next year and make a recommendation to Council. The Club Golf Committee will also run the Centenary Golf Competition with entrants from all sections of the club.

I have asked the Vice Captain to Chair the committee in the short term as it is a pilot. If the pilot meetings are successful then I will propose at the next EGM that we formalise it.


3. The Membership Committee will be formed with the intention of retaining and increasing our membership. I would also like this team to review the initial interview and induction process once a new member joins us. The team will also support our Registrar (Chris Edwards) in interviewing new members, if he is ever unavailable.

Minutes will be produced from each meeting, reviewed by Council
and published to members for their perusal.

Minutes of Committee Meetings

Following comments conveyed at the AGM regarding the need for more open communication, Council have agreed to publish all Minutes from Council meetings and the relevant sub committees.

Obviously those items deemed to be too sensitive for general publication will be removed in published minutes, although it is intended that these will be kept to an absolute minimum as the majority of subjects discussed at committee meetings are not confidential.

The minutes will appear in the relevant sections on the website and also be placed in 3 folders which will be placed in the Spike Bar.

I would request that these folders are not removed from the clubhouse and that members are respectful in their vocal comments when reading an item they may not agree with!

The Council minutes from the last 2 meetings are already in one folder and the various committee meetings will be added as and when they take place and updated on an ongoing basis

If you need any further explanation on a specific subject please speak to a relevant Council/Committee member.

Member Survey

The results of the recent survey have now been collated and are published here for your perusal.

May I just take this opportunity to thank all members who took the time to complete the survey.

The results of the survey and the specific comments made by individuals (without disclosing any names of the persons who made the comments) have been fully reviewed by my fellow Directors and a vast number of action points are being implemented over the coming months to improve performance throughout the club.

We intend to carry out another survey in the Spring to check that these improvements are having a positive impact and hope you will all participate.

In the meantime we will be introducing a feedback form during February which can be used at anytime to let us have your any comments and suggestions or report back any issues as they arise.
